This step-by-step guide walks you through the complete process of creating a professional, branded PDF proposal and sending it directly to your client. Follow these steps to make a great impression and close more deals.
Start by clicking "My Business" in the action bar above. Enter your business name, email, address, and logo URL. This information is saved in your browser and will appear on every proposal you send, giving it a professional, branded look.
Use the Ready-to-Use Templates section above to pre-fill common job types (design, consulting, repairs, etc.), or start with a blank calculator. Templates give you a head start with typical line items that you can customize.
In the Project Details section, enter:
Add each cost item with a description, category, quantity, and unit cost. The calculator groups items by category (materials, time, energy, overhead, expertise) and automatically computes your subtotal. Set your profit margin percentage to calculate the final quote.
Consider offering tiered pricing (Good-Better-Best) to give your client choices. This is a proven sales technique that increases your average deal size. You can describe what each tier includes in the notes section.
Add any terms, conditions, or notes in the Notes field. These will appear at the bottom of your PDF proposal. Include payment terms, warranty information, timeline expectations, and cancellation policies.
Before sending, click the blue "Preview" button in the action bar to see exactly what your client will receive. The preview shows the full PDF with your branding, project details, itemized pricing, and notes. Check everything looks correct before proceeding.
